Purpose of position:
Provide legal secretarial support for staff attorneys in producing legal and court documents that conform to all the rules of legal procedure, generating, editing, and formatting documents, and extensive telephone work with Education Minnesota staff and members.  This position functions as part of a team that is designed to ensure that the rights of members, locals and Education Minnesota are protected to the fullest extent under the law.

Major functions and responsibilities:

• With minimal supervision, create, serve, and file legal documents that conform to the Rules of Civil Procedure, the Rules of Appellate Procedure, The General Rules of Practice, the Rules of Professional Responsibility for Lawyers and the various rules of district courts.
• Regular communication with opposing attorneys, courts, arbitrators and state officials related to litigation, hearings and other matters.
• With minimal supervision, prepare daily correspondence and memoranda submitted by attorney.
• Independently produce handouts, templates, manuals, and Power Point presentations.
• Coordinate and set up onsite and offsite presentations and meetings held by the legal department. Independently handle registrations, establish contacts and plan meeting with property personnel and ensure proper setup and other arrangements.
• General office duties include first line screening of telephone calls from, among others, field staff and members.  Assess needs of individuals to determine appropriate referral and level of response.  Ensure that proper information is sent and referred to proper personnel while maintaining professional demeanor.
• Conduct research, including Internet research, as assigned by attorneys including establishing contacts with clients, witnesses, experts and administrative agencies at the direction of the attorneys.
• Assist attorneys in preparation for arbitrations and other proceedings, including preparing exhibit notebooks and subpoenas.
• Create website postings from bulk information received from the attorneys.
• Order and maintain office supplies.
• Maintain filing and record system.
• Other job related duties as assigned.

Maintain confidential information related to legal matters.

Skills and knowledge required:

•  Current legal secretarial experience required; legal secretarial certification preferred.
•  Accurate typing/transcribing/word processing skills, including tracking changes.
•  Proficiency in all aspects of creating, serving, and filing briefs and other court documents, including electronic case filing in federal court.
•  Spelling, grammar, and proofreading skills.
•  Proficiency in Windows, Outlook, Power Point, Excel, and Access
•  Good public relations, phone/personal skills
•  Ability to perform and work well under deadlines/pressure.
•  Ability to understand and effectively carry out complex oral and written directions.
•  Problem solving ability.
•  Knowledge of good work flow; capable of quick changes from project to project.
•  Ability to organize, prioritize, and work independently in accomplishing objectives, goals, and meeting numerous deadlines.
•  Recordkeeping/bookkeeping skills.

Willingness to work overtime as needed.
